# What workspaces keep separate

Each workspace has its own meetings and recordings, saved people and voices,
Dictionary terms, and templates you created. Built-in templates appear in every
workspace, but which ones are turned on is set per workspace. Search (⌘K) looks
only in the active workspace; its field says
**Search in Acme** when Acme is active. A connected AI assistant reaches only
the workspaces you [turn on for it](https://docs.recordstead.app/assistants/connect-an-assistant), and each
new workspace starts off. An assistant's search covers every workspace you
turned on for it.

App settings, downloaded models, recording, call detection and macOS permissions
are shared. The setting that allows voice recognition is shared, but saved
voices remain in their own workspace.

## Which workspace a new recording lands in

A recording normally goes to the workspace active **when it starts**. An
automatically detected call can instead follow its matching Google Calendar
event to a single assigned workspace; [choose where a calendar appears](https://docs.recordstead.app/calendar/choose-workspaces)
explains when this happens. A recording you start manually keeps your chosen
workspace.

Switching workspaces during the call does not move it. If you have multiple
workspaces, the notification for a call that Call Detection starts names its
destination. While it records, the call is listed as **Recording now** in
**Meetings** of that workspace only.

## Send the call you are on somewhere else

While recording, open the menu-bar panel. Its status card shows the recording’s
workspace; choose another there to change the destination for **this call
only**. The active workspace and the next call’s destination do not change.

Once the recording stops, [move the finished meeting](https://docs.recordstead.app/meetings/move-to-workspace)
instead.

## Opening a meeting that lives somewhere else

Opening another workspace’s meeting from a notification does not switch the
active workspace. The meeting opens in its own window.

**Open in Recordstead** in the Live Transcript window is different: during the
call it switches to the workspace the call records into.
